Once it’s connected, the Gmail account can be associated with a specific job, meaning all automated outreach for that role goes out from the recruiter’s own email address, not a generic platform address.

This matters for deliverability and for how candidates perceive the outreach. An email from a recruiter’s real address reads differently than one from a no-reply system address. If a recruiter doesn’t connect Gmail, CloudHire still sends the automated emails, but they go out from the platform’s default address instead.

What the Gmail Integration Handles

Once Gmail is connected and associated with a job, it handles several types of outreach automatically: Status page emails, AI video interview invitations, ATS invites, and other automated communications, all routed through the recruiter’s connected account. This keeps all candidate-facing messages consistent and traceable.

When candidates reply to any of those emails, their responses appear in CloudHire’s inbox section. Recruiters can read the conversation, reply from within the platform, and continue communicating without ever switching to Gmail. The sequences feature addresses a specific gap in hiring: candidates who receive an AI interview invitation but don’t complete it. Instead of requiring a recruiter to manually track and chase each candidate, sequences automate the follow-up process.

A sequence is essentially a scheduled series of reminder emails. Recruiters can build one by writing custom messages for each step in the sequence. There’s no limit on how many follow-ups can be added. The recruiter sets the time interval for each reminder: For instance, the first follow-up goes out 24 hours after the initial invitation, the second after another specified period, and so on.

Once a sequence is set up, it gets attached to a specific job. From that point, it runs automatically for any candidate who receives an invitation for that role and hasn’t completed their interview within the set window.

Pausing, Resuming, and Tracking Performance

Recruiters have control over sequences after they’re active. If they want to pause outreach, for example, if a role is put on hold, they can pause the sequence and resume it when hiring picks up again. The pause and resume controls are available directly from the sequences dashboard.

Performance data is visible in the same view. Recruiters can see how many candidates received follow-up emails, how many opened them, and how many replied. This gives a clear picture of whether the sequence is working or whether the messaging needs adjustment.
